Administrative Specialist, NF-03/RFT, MCCS Community Services Coordination, Camp Courtney
Performs administrative and clerical functions supporting the Community Services Coordinator at Camp Foster and Futenma, organizing events, managing budgets, and providing office management.

This position is located at Camp Courtney. Candidates selected for this position will serve as an Administrative Specialist.
Major Duties
This position performs various administrative and clerical functions in direct support of the Community Services Coordinator (CSC) in Camp Foster and Futenma. Actively participates in the organization of all other Special Events, which occurs on assigned camp(s). Creates, organizes, advertises, and execute various CSC programs and events for the various camp residents. Maintains and manages facility's budget and calculates costs of office and program needs.
Prepares and organizes a wide variety of materials such as recurring reports, drafts, letters, narrative studies, briefing charts and slide presentations, edits correspondence, verifies documents for clarity and readability. Edits and corrects spelling, grammar, punctuation, and ensures the appropriate format is used in accordance with the Naval Correspondence and administrative procedures Operations Manual. Operates various office machines and equipment: computers, laptops and projectors, copy machine etc. Provides general office management support. Opens and closes for business, schedules and coordinates appointments, assists/greets customers, responds independently to nontechnical questions and requests, acts as the central source of information regarding camp specific MCCS, refers inquirers to proper channels, maintains CSC files, mail, and directives. Submits maintenance work requests, and occasionally issues temporary office keys.
Coordinates Camp/Unit support requests with various MCCS departments following proper procedures in accordance to Directives: delegates support tasks, submits proper request forms in various formats, confirm reservations, corresponds by phone and email, maintain files for all support, calculate and log support cost, and trouble shoot when necessary.
Fills in for the Community Services Coordinator in his/her absence: attends Camp Commander's and/or scheduled Chiefs' meetings, conducts facility visits and facility Risk Assessments, and other functions as required.
Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Acknowledges customers, smiles and makes eye contact. Asks questions to determine, verify and solve problems. Checks for satisfaction on the quality of goods and services. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise.
Adheres to safety regulations and standards. Uses required safety equipment, and observes safe work procedures. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor.
Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.
This is a white collar position and occasionally lifting of up to 20 pounds may be required.

Requirements
Basic Requirements
A 2-year degree from an accredited college or vocational school in fields related to duties of the position being filled AND a minimum of 2 years of specialized and progressively more responsible work experience in administrative support which demonstrates analytical ability, mature judgment, discretion, and knowledge of a substantial body of administrative or program principles, concepts, policies, and objectives.
Qualification Requirements
Knowledge in Microsoft software programs to include Word, Excel, Outlook, and PowerPoint. Knowledge of SharePoint is desirable.
Knowledge of military and civilian business administrative principles, concepts and procedures including filing system and record retention standards.
Experience and ability to interpret budgetary, accounting, or other financial program guidance, including the application of established criteria in verifying and editing various financial reporting documents.
Knowledge of grammar, spelling, punctuation and formatting used in general business communication.
Ability to communicate orally and in writing in a clear and concise manner.
Ability to work independently and efficiently in handling multi-task assignments and prioritizing work in a fast-paced and dynamic work environment.
